Openrent are a lettings agency, not a full management agency. The answer to your question is that it depends on what type of tenancy theyre currently in, what type of contract you gave them and some other factors.
If youre not confident you have the knowledge to handle this then I suggest you either join a landlord association and seek advice, or consider a different type of agent.
Do you mean - in writing vs verbally?
Tenant should always put it in writing and you should acknowledge in writing. Beyond that your agreement should state the time periods etc. Essentially you can accept what you like but don’t have to accept if it is not correct.
