Yearly Gas Certificate

The gas engineer has been to my flat 12 March 25 for the annual check. The gas supply has dropped by 6mb so it fail the test. Tenants does not have gas or CH. T asked for an electric heater and saying that she has a condition so needs the flat to be warm. I can supply an oil heater straight away. ( tonight).

This is the first time that the certification failed. T has never asked for a copy before but now. The gas engineer can do the repairs to put things right ASAP.

Q1 : Do I need to give a copy of the gas certificate to the T?

Q2 : I never knew the T had a condition, she never mentioned it before ( I do not know what condition). Can I request from the T to expand on this?

GSR should have been served when tenant moved in - if you are using OR rent now then it should have happened (a link to dashboard they can download it from)

I’m not sure I’d ask about a medical condition- not your business to ask what the condition is (medical info is sensitive and private) but you could reasonably ask (given what they told you already) whether there is anything you should know as landlord given that you are responsible for health and safety matters in the property. So eg for a property which has children in it you would need to consider any adjustments to make it child safe. In the same vein ask if there is anything that would be helpful for you to consider given her health condition. (Some emergency insurance eg boiler cover providers allow tenants to raise direct with insurer instead of having to go through LL. May be worth considering).

You should be providing the annual gas safety inspection report to the tenant.

You don’t need to worry about her condition, but you are right to provide an oil filled radiator as a temporary solution whilst the fault is rectified.

Well done for getting her a rad quickly. Worth a fortune if it’s got oil in it though so make sure you get it back.

Yes, you’re legally required to give the tenant a copy of the gas safety record within 28 days of the check. And if this one failed, once the engineer rectifies the fault and issues a new satisfactory certificate, you’ll need to serve that one too.

Good shout on the oil heater as a temporary fix - that’s the right thing to do while you wait for the repair.

One thing worth doing after this is sorted - set up proper tracking for your certificate renewal dates so you’re never caught off guard. I use www.amberline.app which sends automatic reminders at 90, 30, and 7 days before expiry. The CP12 is annual so it’s easy to forget, especially if you’ve got other certificates like EICRs and EPCs on different cycles. The free plan covers 3 certificates which is enough for a single property.
