You should have a section in the GDPR privacy notice youve given to the applicants explaining how you will destroy the data collected on any unsuccessful candidate.

I noticed you mention GDPR policy | notice - is there a template for this which I could use or does this gets added within the T agreement as a clause about it?

You have to register with the Information Commissioners Office ICO and you are given a registration certificate and the required GDPR templates.
Have a search online or join one of the landlord associations who have tailored templates for landlords.
